CUSTOMER SUPPORT

Customer support that does not pull a technician off a job

Give routine questions a useful answer and make concerns easy for a service advisor to pick up.

Repair shop advisor listening to a customer in the service area

The phone does not stop after the appointment is booked. Customers ask about drop-off, shop policies, the next step in an estimate, or a concern about their visit. A receptionist can organize those calls while your team works, provided it knows the difference between approved shop information and a decision only staff can make.

Give routine questions a reliable home

Keep the agent’s approved information current: hours, location, services, arrival instructions, and the shop’s warranty or policy wording. Assign someone to update those facts when the business changes them. A receptionist repeating an old policy is still giving the wrong answer.

Use plain language that matches your service desk. The customer does not need to hear an internal script. They need a direct response, a useful next step, and a clear explanation when the team must confirm something.

Capture concerns before attempting a resolution

If someone is unhappy or asking about a specific repair, let them explain the concern. Capture their callback details, vehicle reference, and what they want the service advisor to review. Do not make the customer repeat a long story just to reach the right person.

The agent should not decide that a repair is covered, authorize a refund, invent a completion time, or promise a remedy without an approved workflow. Use your configured handoff process and make the status of the follow-up clear.

  • What is the customer asking the team to help with?
  • Which vehicle, appointment, or visit does it concern?
  • What contact method should the advisor use?
  • Is the next step confirmed or awaiting staff review?

Judge the handoff by what staff receive

A useful support summary separates the customer’s words from confirmed shop information. It identifies the unresolved question and the person or workflow that should handle it. That makes the next conversation easier to begin.

Review support calls alongside service requests during the trial. Look for repeated confusion, missed context, or promises the team cannot keep. Improve the approved answers and escalation rules before asking the receptionist to handle more sensitive situations.
