APPOINTMENT FLOW

From the first ring to a confirmed service appointment

Keep appointment requests, approved availability, and customer confirmations from getting mixed together.

Service bays with vehicles on lifts in a working garage

A full calendar is not useful if the appointments do not match the work your bays and staff can handle. An AI receptionist should follow your scheduling rules, not simply offer the first empty time it sees. Start by deciding what your shop can confirm automatically and what still needs an advisor.

Build rules around the work, not just the clock

Define which service categories can be booked, how long the appointment or intake window should be, and any restrictions your team needs. A vehicle drop-off time may be different from a technician’s start time or a promised completion time. Make that language explicit.

Include the situations that need review: an unfamiliar service request, a job requiring an estimate first, or a caller asking for a deadline your shop has not approved. The receptionist should know when to collect a request instead of offering a confirmed slot.

Say clearly what has—and has not—been booked

Without a configured live booking workflow, the agent can capture the requested service and preferred time for your staff to confirm. With a configured appointment-enabled Advanced agent, it can check approved availability and create an actual appointment.

Repeat the appointment status before ending the call. If a booking succeeds, summarize the service, day, time, location, and approved preparation instructions. If the system cannot confirm it, say the request is pending instead of presenting an error as a completed booking.

  • Service or intake category
  • Vehicle and customer contact details
  • Requested versus confirmed date and time
  • Location and shop-approved arrival instructions

Test changes as carefully as new bookings

Customers also ask to move, cancel, or check an appointment. Define how your team verifies the existing booking and which changes the configured workflow can make. When the agent cannot safely complete the change, it should capture the request for staff.

Test an unavailable time, two callers asking about the same slot, a change request, and an incomplete vehicle intake. Review the records with your service advisor. Successful scheduling should leave everyone with the same understanding of the next visit.
